The effective planning deadline is the earlier constraint created by notice requirements, migration lead time and internal approvals. Validate contract language and date calculations with the responsible contract owner.

A $2 million renewal in four months

First obtain the executed agreement, amendments and current order form. Identify notice requirements, current quantities, pricing rules and any existing extension rights. Ask the operating owner for actual usage, service issues, deployment plans and the time needed to move. Confirm who can approve a decision and when.

If switching is feasible, establish a focused market test with comparable scope and enough time for diligence. If switching is not feasible now, build an evidence-led renewal position: right-size demand, challenge unsupported charges, improve the next renewal mechanics and reduce future switching barriers. Do not pretend an impossible move is your immediate alternative.

Run commercial and contract work in parallel. Preserve a continuity path while pursuing better terms. A notice decision can itself have consequences; the authorized owner and counsel should determine whether, how and when notice is appropriate.
